GROUP COORDINATOR, NF 0303-02

DUTIES AND RESPONSIBILITIES:   Must possess a welcoming manner and positive attitude; demonstrate effective communication skills; professionally interact with guests; answering guest questions concerning hotel facilities; and provide information about local attractions. Provide assistance in handling customer complaints, involving management as necessary. Acts as the primary Point of Contact (POC) for all groups and administer s group contracts.  Utilizes the Property Management System (PMS) to access the guest information, retrieve reservation information, change or cancel reservations as requested by the guest or register guest.  Verifies registration information secures a credit card for incidental expenses, and authorizes credit card for room charges.  Provides guests with their room key or card.

 

Processes group reservations (5 or more person) within established guidelines. When rooms are not available, provides a certificate of non- availability (CNA) and/or alternative lodging in area.

 

Ensures the Arrivals List is verified daily prior to group or guest arrival. All inconsistencies are investigated and corrections are made immediately. Creates and corresponds swiftly to email guest/group reservation bookings to ensure room inventories remain accurate to prevent overbooking.

 

Maintains contact with Central Reservation System (CRS) to ensure room inventories are accurate to prevent being overbooked.  Utilizes Navy Gateway Management Console (CORE) online to verify room inventories and change inventory availability to coincide with groups booked by instillations to prevent over booking with CRS and DOD lodging website reservations.

 

Greet groups with pre-made keys and registration forms upon group arrival during normal business hours when required.

 

Registers and assigns rooms to guests, issuing room keys or cards, transmitting and receiving messages, keeping records of occupies rooms and guest accounts, making and confirming reservations, and presenting statements to guest and collecting payments as necessary.

 

Receives and is accountable for a change fund.  Prepares Close Bank Report and deposit cash receipts at the end of each shift in accordance with established procedures.

 

Set up direct bills, where appropriate and liaisons with the front desk staff and/or Desk Manager with billing questions or issues.

 

Performs other related duties as assigned.

 

SKILL AND KNOWLEDGE:  Six months of work experience that demonstrates knowledge of basic principles, concept, standards, and regulations related to hospitality operations.  Must be skilled in the use of a personal computer and various software programs. Must possess basic math and reading skills. Must be able to communicate clearly and effectively both verbally and in writing in English.

Ability to control, account for handle large amount of cash.

Must possess knowledge of daily hotel operations and have experience utilizing an automated property management system.

 

SPECIAL REQUIREMENT:  This position may be designated ALPHA personnel for inclement weather or in the interest of national security and may be required to report for work when other employees are excused.

 

This position is subject to the possibility of working on weekend and holidays, as well as rotating shifts, often consisting of other than normal duty hours.  The staff members may be recall to duty and/or required to work overtime, including on an emergency basis.

 

May be required to possess a valid state driver’s license. Travel to other NGIS facilities may be required within the normal scope of duties.

 

This is a non-critical sensitive position requiring access to automated systems that contain PII on military personnel that is protected from disclosure by the DoD Privacy Program, DoD 5400.11 R.

 

The incumbent must obtain and maintain the Access National Agency Check with Inquiries (ANACI) security clearance with no access to classified information and must remain suitable for continued employment in National Security positions.

 

The incumbent is required to obtain Navy Lodging Program (NLP) front desk certification within 6 months of employment, as well as, any other requirements outlined in the Lodging Career Path Guide.

 

NOTE:  Some positions have special requirements. Selection may be tentative pending the completion of the satisfactory employment reference checks and receipt of proof of education (where applicable). Selectee may be required to complete a one (1) year probationary period. Participation in the Direct Deposit/Electronic Fund Transfer within the first 30 days of employment is required.
